Volunteer Opportunities

Interested in volunteering at Derby Day Soiree the premier Ann Arbor fundraising event? Look no further!  Recruitment is underway for Day of Volunteers to help ensure the success of the 3rd Annual Derby Day Soirée on Saturday, September 5, 2020.  Derby Day Soiree takes place at the historic Earhart Manor on the campus of Concordia University in Ann Arbor.   All volunteer opportunities are 2 – 3 hours in length and most require a one-hour training. Exact dates and times for training to be announced. Volunteers must be 16 years of age or older and must have a smart phone or iPad/tablet they can use during their volunteer shift.

Volunteer Shifts (Times subject to change)

Shift #1:  4:15 pm – 6:45 pm

Shift #2:  6:15 pm – 8:15 pm

Shift #3:  8:15 pm – 10:30 pm

 

Set-Up: 10 Volunteers (10:00 am – 3:00 pm)

  • Duties include: Work with committee volunteers and help with event set-up

  • No smart phone/iPad/Tablet necessary

 

Registration/Check-In:  10 Volunteers (4:15 pm – 6:45 pm)

  • Duties:  Greet Guests and check them in as they arrive.  Verify they are registered on click-bid in order to participate in event happenings throughout the evening. Handout name tags, bid paddles, event program.

 

Coat Check:  4 Volunteers (4:15 – 10:30 PM) (3 shifts available)

  • Duties include:  storing coats before/during the event and retrieving them and giving them to guests afterward.

  • No smart phone/iPad/Tablet necessary

 

Bourbon Tasting Host/Hostess:  4 Volunteers (4:15 pm – 8:15 pm*) (2 shifts available – 2 volunteers)

  • Duties include:  Oversee the Bourbon tastings, text registered participants 30/15/5 minutes before tasting.   Check guests in and show them to their seats.  Help bartenders clean up after each bourbon tasting in order to get room ready for next seating.

  • Must be 21 years or older to volunteer as a bourbon host/hostess

  • Volunteer time subject to change*

 

50/50 Wager Booth:  4 Volunteers (4:15 pm – 6:45 pm)

  • Duties include:   Work in a wager booth and pretend you work at Churchill Downs. Sell 50/50 raffle tickets to guests as part of the mock horse betting prior to the Kentucky Derby!   

 

Silent Auction Butler:  4 Volunteers (4:15 pm – 6:45 pm)

  • Duties include:  Encourage guests to bid on auction items, serve as butler auctioneer and help guests bid on items via click-bid.  Answer questions about auction items/packages.

 

Horse Betting Box:  4 Volunteers (4:15 pm – 6:45 pm)

  • Duties include:  Look the part!  Become a Derby Jockey and encourage guests to bet on your horse by placing 50/50 raffle tickets they purchased at the Wager booth in your horses’ box.   Once the Derby is over the horse that won the race will have its box brought up on stage and the winning raffle ticket will be pulled to win big money! 

  • Jockey Costume required for this volunteer opportunity.   Costume provide by Ele’s Place.

 

Wine Toss:  6 Volunteers (4:15 pm – 8:30 pm) (2 shifts available – 3 volunteers per shift)

  • Duties include:  Oversee the wine toss game.   Sell opportunities for guests to lasso a bottle of wine three chances for $20.00.  

  • Must be 21 years or older to volunteer at this station.

 

Savory Station:  4 Volunteers (6:15 pm – 10:30 pm) (2 shifts available – 2 volunteers per shift)

  • Duties include:  Oversee the savory station as guests leave the venue, replenish goodies as necessary

  • No smart phone/iPad/Tablet necessary.

 

Check-Out:  10 Volunteers (8:15 pm – 10:30 pm)

  • Duties include:  Work with auction committee to breakdown the silent/live auction and 50/50 baskets and prepare for guests to checkout.  Checkout guests via click-bid as they leave and insure they have collected their auction items, raffle baskets and wine from wine toss

 

Photo Booth Attendant:  6 Volunteers (4:15pm – 10:30 pm) (3 shifts available – 2 volunteers per shift)

  • Duties include:  Encourage guests to use the booth and ensure they feel welcome and comfortable. Explain how to use the equipment, help position guests for the shot, encourage the use of derby props that will be on hand at the booth.

  • No smart phone/iPad/Tablet necessary

 

Volunteer Floater:  3 Volunteers (4:15 pm – 10:30 pm) (3 shifts available – 1 volunteer per shift)

  • Duties include:  Fill in for volunteers at stations when they need a break.  Work with logistics team and take care of miscellaneous guest issues if/when necessary.

 

Breakdown/Clean-Up:  10 Volunteers (8:15 pm – 10:30 pm)

  • Duties include:  Help breakdown/clean-up event, pack cars with event items to be returned to Ele’s Place.
